Position Announcement

POSITION: Clerical Assistant (OA), CS-303-05/06/07 

SALARY RANGE: CS-05 $28,269 - $37,125
                           CS-06 $31,319 - $41,147
                           CS-07 $34,706 - $45,560
               

OPENING DATE:  March 31, 2008 
CLOSING DATE: September 30, 2008 

BRIEF DESCRIPTION OF DUTIES:

Receives visitors and phone calls to the office, ascertaining the nature of requests and directing callers to appropriate staff. Types a variety of material in draft and/or final form as appropriate, and is responsible for the correct assembly, arrangement, spacing, grammar and spelling of final products. Receives, reads, sorts, logs, attaches pertinent reference material to and distributes incoming mail, such as correspondence, reports, and other documents for the office. Conducts final review of all outgoing correspondence generated in the office. Prepares special and periodic reports, and maintains time and attendance reports. 

QUALIFICATIONS REQUIREMENTS:

All candidates must have at least one (1) year of experience related to the occupation that demonstrates ability to perform the core competencies identified below:

Core competencies needed to successfully perform the duties of this position are:

At the CS-05 grade level –

1. Knowledge of the organization’s programs and activities in order to provide information and direct visitors accordingly.  
2. Knowledge of the office filing system; and procedure manuals used in the preparation of time and attendance reports.
3. Knowledge of grammar, spelling, punctuation and required format.
4. Skill in operating a personal computer, and the ability to manipulate the related software to prepare special reports, arrange data and achieve desired results.

At the CS-06 grade level –

1. Knowledge of the mission, functions, policies, commitments, and program goals of the supervisor and staff sufficient to independently set up conferences, meetings, and workshops; prepare reports, and maintain calendar.
2. Knowledge of the duties, priorities, commitments, and program goals of the supervisor and staff to set up conferences, meetings, workshops; prepare reports; maintain calendar; and perform non-routine assignments.
3. Knowledge of English, grammar, punctuation, spelling, style and required formats.
4. Skill in operating a personal computer and knowledge of the capabilities, operating characteristics, and advanced functions of a variety of types of office automation software, and competitive level proficiency in typing.

At the CS-07 grade level –
 
1. Knowledge of the mission and organizational structure in order to provide agency staff with the     appropriate level of assistance.
2. Ability to apply and maintain good organizational and prioritization of work and projects.
3. Skill in oral and written communication, including knowledge of correct grammar, spelling, punctuation and agency formats.
4. Skill in operating a personal computer, and the ability to manipulate the related software to prepare special reports, arrange data and achieve desired results.

All applicants must describe specific incidents of sustained achievements from their experience that show evidence of the above core competencies. The responses to the core competencies MUST BE ON A SEPARATE SHEET OF PAPER and attached to the Employment Application or resume.

Residency Preference Amendment Act of 2007:

A person applying for a position in the Career Service, Educational Service, Management Supervisory Service, a line attorney position the Legal Service (series 905), or an attorney position in the Excepted Service (series 905) who is a bona fide District resident AT THE TIME OF APPLICATION for the position, may be awarded a 10-point residency preference over non-District applicants, unless the person declines the preference points. If selected, the person shall be required to present no less than 8 proofs of bona fide District residency and maintain such residency for 7 consecutive years from the effective date of the appointment. Failure to maintain bona fide District residency for the 7-year period will result in forfeiture of employment.
